Lightspeed R Data Export Instructions

How to Export your information from Lightspeed (merchantos / R)

 

The following steps should be followed in order to export the maximum amount of information available from Lightspeed’s merchantos.com platform to Pinogy POS. There are three sections. The Basic Export section covers all information available to be imported outside of historical sales. The Sale Data Export covers the sales history from Lightspeed. The last section covers submitting the exported data to Pinogy. Basic data is covered if you selected the basic data import option. Sales data is imported if you selected the Sales Data import option on your quote.

The files getting exported will be in a comma delimited format (csv). Please do not open the files in Excel as this will corrupt some of the information in the files and will require that you export the information again.

Basic Export

  1. Go To https://us.merchantos.com/ and log in

  2. Click on Inventory in the left menu.

  3. Click on the Item Search button.

  4. Click on the Export button. This will result in a file being downloaded. Rename the saved file appending “-current” to the end of the file name. (item_listings_local_matches-current.csv)

  5. Check the “Archived” checkbox, followed by pressing the blue Search button.

  6. Click on the Export button. This will result in a file being downloaded. Rename the saved file appending “-archived” to the end of the file name. (item_listings_local_matches-archived.csv)

  7. Click on Inventory again in the left menu.

  8. Click on the Vendors button

  9. Click the Enabled Only checkbox to the left of the Search button, and then click on Search.

  10. Click on the Export button. This will result in a file being downloaded. Save the file with the name suggested

  11. Click on Customers in the left menu.

  12. Click on the Customers button.

  13. Click on the Export button. This will result in a file being downloaded. Rename the saved file appending “-current” to the end of the file name. (customer_listings_local_matches-current.csv)

  14. Check the “Archived” checkbox, followed by pressing the blue Search button.

  15. Click on the Export button. This will result in a file being downloaded. Rename the saved file appending “-archived” to the end of the file name. (customer_listings_local_matches-archived.csv)

  16. Click on Customers in the left menu.

  17. Click on Credit Accounts button.

  18. Click on the Export button. This will result in a file being downloaded. Save the file with the name suggested

  19. Click on Customers in the left menu.

  20. Click on Gift Cards button.

  21. Click on the Export button. This will result in a file being downloaded. Save the file with the name suggested

  22. Click on Settings on the left menu.

  23. Click on Employee Setup

  24. Click on Export. This will result in a file being downloaded. Save the file with the name suggested

Sales Data Export

  1. Click on Reports in the left menu.

  2. Click on the “Totals” link under the Sales & Refunds section.

  3. Change the date range to cover the entire period you would like to export, and then click on Search.

  4. Once the results appear, click on the Export button. This will result in a file being downloaded. Save the file with the name suggested. (add location and repeat for each location if there are multiple locations)

  5. Click on Reports in the left menu.

  6. Click on the “Lines” link under the Sales & Refunds section.

  7. Change the date range to cover the entire period you would like to export, and then click on Search. (*** Depending on your volume, Lightspeed may error out either on the Search, or subsequent export. If this happens, break the date range into segments and run multiple exports.)

  8. Once the results appear, click on the Export button. This will result in a file being downloaded. Save the file with the name suggested. (*** If you had to break your date range into multiple segments, append the starting date to each file name to keep them unique and easily recognizable.)

  9. Click on Reports in the left menu.

  10. Click on the “All Transactions” link under the Other Transactions section.

  11. Change the date range to cover the entire period you would like to export, and then click on Search. (*** Depending on your volume, Lightspeed may error out either on the Search, or subsequent export. If this happens, break the date range into segments and run multiple exports.)

  12. Once the results appear, click on the Export button. This will result in a file being downloaded. Save the file with the name suggested. (*** If you had to break your date range into multiple segments, append the starting date to each file name to keep them unique and easily recognizable.)

  13. Click on Reports in the left menu.

  14. Click on the “Layaways” link under the Layaways, Special Orders, and Workorders section.

  15. Click on the Export button. This will result in a file being downloaded. Save the file with the name suggested

  16. Click on Reports in the left menu.

  17. Click on the “Received” link under the Payments.

  18. Change the date range to cover the entire period you would like to export, and then click on Search.

  19. Click on the Export button. This will result in a file being downloaded. Save the file with the name suggested appending the store name. Repeat the payments steps for each location.

Matrix products can’t be exported from Lightspeed, so any matrixes item will need to be unmatrixed before the item export is done.

Submitting the exports to Pinogy

Now that you have finished exporting everything, you need to get all of these files to us so we can import them for you. These files can be zipped up and emailed to us at import@pinogy.com. Because of the size of these files, you might need to split the files up into multiple emails. If you have any issues, please call us at 877-360-7381 for assistance. We can connect to your computer with TeamViewer to assist with the export and pull the files across from you if necessary. After that, we will load each of the files for you and let you know as soon as everything is ready. Depending on how much data you want to be loaded, this could take anywhere from 15 minutes to a couple of hours.
